What Can I Attach Documents To?
You can upload files across four areas of ActiveDonor:
Donors – Store correspondence, BBBEE certificates, agreements, or any other donor-related documents directly on a donor’s profile.
Receipts – Attach proof of payment, bank deposit slips, or payment notifications to a specific receipt.
Section 18A Certificates – Upload supporting documents for goods-in-kind donations, such as invoices or delivery notes, directly to the certificate.
Projects – Keep project-related documents, campaign materials, or budgets attached to the relevant project.
How to Upload a Document
Uploading a file works the same way across all four modules:
- Navigate to the relevant record (donor profile, receipt, certificate, or project).
- Scroll down to the Attachments or Supporting Documents section.
- Either drag and drop your file into the upload area, or click Browse to select a file from your device.
- The file will appear immediately once uploaded.
On the Receipt:

Viewing All Documents for a Donor
The Documents tab on a donor’s profile gives you a consolidated view of every file attached to that donor across all modules.

The Documents tab is divided into three sections:
Correspondence – Files uploaded directly to the donor profile (general documents not tied to a specific receipt or certificate).
Certificate Documents – Files that were uploaded to one of this donor’s Section 18A certificates. Each entry shows the certificate number, date, total amount, and the attached file.
Receipt Documents – Files that were uploaded to one of this donor’s receipts. Each entry shows the receipt number, date, amount, and the attached file.
This makes it easy to find any document without needing to open individual receipts or certificates one by one.
Attachments on Projects
Projects have their own attachments section for storing campaign materials, budgets, or any project-specific documentation.

Removing a Document
To remove an uploaded file, click the × icon next to the file name. You’ll be asked to confirm before the file is permanently deleted.
Note: Deleting a file from a receipt or certificate will also remove it from the consolidated Documents tab on the donor profile.
Supported File Types & Limits
ActiveDonor supports common document formats including PDF, JPG, PNG, and Word documents. Keep the following limits in mind when uploading:
Per file: Each individual attachment has a maximum file size of 5 MB. If a file exceeds this, you’ll need to compress it before uploading.
Number of files: There is no limit on how many files you can upload across donors, receipts, certificates, or projects.
Storage quota: Your organisation has a global storage limit based on your plan:

Your total storage usage is shared across all attachments uploaded in your account, regardless of which module they’re attached to.
Checking Your Storage Usage
You can see how much storage your organisation has used at any time by going to Settings → Subscription.
The Subscription page shows your current storage used versus your plan’s total quota, displayed as a percentage with a progress bar.

If you’re approaching your storage limit, consider removing outdated or duplicate files, or contact us to discuss upgrading your plan.
Frequently Asked Questions
Can I download a file after uploading it?
Yes – click on the file name to open or download it.
Can multiple team members see the same uploaded files?
Yes – all uploaded documents are visible to anyone with access to that donor, receipt, certificate, or project in your organisation’s account.
How many files can I upload?
There’s no limit on the number of files. Each file must be under 5 MB, and your total uploads count toward your organisation’s storage quota.
What happens if I reach my storage limit?
You’ll be notified when you’re approaching your limit. Once the quota is reached, new uploads will be blocked until storage is freed up or your plan is upgraded.
Can I remove files to free up storage?
Yes – deleting a file removes it permanently and returns that storage to your quota.
